Autobooks Invoicing 201: Tips and Tricks

Unlock the hidden power of Autobooks invoicing with six handy tools built right into your account.

When it comes to invoicing, small details can make a big difference. That’s why Autobooks includes powerful tools inside every invoice you send from your Financial Institution account. Think of these as shortcuts that save you time, help you stay organized, and give your customers more ways to pay.

Here’s a closer look at your six Invoice Action menu tools — and how they can help you run your business more smoothly. You can also watch the video below to see them in action.

1. View Invoice

The View Invoice option lets you see your invoice as a PDF, opening up the ability to send your customer their invoice however they need you to, or print it for your own records. This makes it easy to share via email from your own inbox, or print it directly and send a physical copy — complete with a QR code for easy payment.

PRO TIP: Use this feature when your customer asks for a printed or mailed copy of their invoice, or you want to attach it to an email from your own inbox while communicating with your customer.

2. Pay Invoice Directly

Sometimes you’re able to accept payment on the spot — whether that’s over the phone or in person. The Pay Invoice Directly option allows you to enter your customer’s payment details on their behalf, letting you mark the invoice as paid for your records, and still send a professional payment receipt to your customer.

PRO TIP: Use this tool when you’re able to capture a payment for an outstanding invoice in person or over the phone and want to make it simple for your customer to pay.

3. Mark Invoice Paid

Not every payment comes through electronically, and that’s where this feature comes in handy. If you receive cash or a check from a customer, the Mark Invoice Paid option helps you log that transaction and keep all your invoicing records accurate inside Autobooks.

PRO TIP: When your customer pays you offline, you can mark the invoice as paid to keep everything organized in one spot — Autobooks, inside of your business checking account.

4. Copy Invoice

If you often bill customers for the same products or services, creating invoices from scratch can feel repetitive. Copy Invoice solves this by letting you duplicate an existing invoice in seconds. It’s a fast, reliable way to create professional invoices in seconds and save you from entering the same details repeatedly.

PRO TIP: Use this feature when you’re billing for the same set of services across different clients, or when you need to send multiple invoices that follow the same format.

5. Resend Invoice

Sometimes invoices need to go to multiple contacts at the same company, or you have a long-term project that requires follow-up payments (or maybe your customer lost the invoice in a busy inbox). With Resend Invoice, you can quickly resend an existing invoice without creating a new one. It’s a simple way to keep payments on track and ensure the right people have the right information.

PRO TIP: Use this when you need to send an invoice to multiple contacts at the same business, or have a long-term project that requires a deposit plus follow-up payments that are all tied to the same invoice.

6. Copy Invoice Payment Link

Payment should be as easy as clicking a link. This feature copies a direct payment link for your invoice, so you can paste it anywhere — email, text message, or even chat. It’s a flexible way to meet customers where they are and encourages faster payments.

PRO TIP: Share the link directly when a customer asks how to pay, so they can settle their invoice with just one click.

Bringing It All Together

These six invoicing tools are small but mighty. Each one is designed to save you time and help you get paid faster — all without leaving your business checking account.
